List Filter Online is a powerful web part for SharePoint Online that helps users easily retrieve, analyze, and manage data. It lets users filter lists and document libraries by any criteria - date, author, content, metadata - build complex queries with a visual query builder, group results with totals, and export filtered data to Excel for further analysis. A user-friendly interface with a command bar, filter panel, and results table makes working with even the largest datasets simple and intuitive.
Built on the SharePoint Framework, the web part runs on SharePoint pages and as a full-page app. It requires no additional permissions and uses the native SharePoint REST API, so your data never leaves your Microsoft 365 tenant. The product is localized into more than 40 languages.
Customizable View
List Filter Online allows users to personalize their data display according to their unique needs. Users can choose which columns to show, rename them for clarity, reorder them by drag-and-drop, and determine how the data should appear - including a compact row mode, pagination with a configurable page size, thumbnails for files and images, and breadcrumb navigation through folders.
Whether you want to focus on specific fields or prefer a particular layout, List Filter Online enables you to create a customized and efficient data presentation. The web part also respects the native SharePoint column formatting of your list, so color-coded and custom-formatted columns look the same as in the standard list view.
Query Builder
The built-in Query Builder in List Filter Online provides users with the ability to create complex CAML queries for retrieving data from lists and libraries - without writing a single line of query language. It offers static conditions such as Equals, Does Not Equal, and Date Range, as well as dynamic conditions like Current User, Last Year, and Last X Months.
Users can combine these conditions using AND/OR logic and nest condition groups up to ten levels deep, providing the flexibility to describe precisely the data they need. This allows users to access exactly the information they require, ensuring a tailored experience.
Filter Panel
The customizable filter panel in List Filter Online lets users choose which columns to search in a list or library. For every field type there is a matching control: text boxes with autocomplete, single- and multi-select dropdowns, People Picker, Term Picker for managed metadata, date and date-range pickers with relative ranges such as "last N days", number ranges and sliders, checkboxes and toggles, and even filters by approval status or the presence of attachments.
The filtering engine supports a rich set of comparison operators - equals, contains, begins with, greater/less than, in range, is empty, is current user, and more - all translated into efficient CAML queries. Users can quickly find the information they need and customize their search experience to their specific requirements, improving productivity and data management.
Column Filters and Filter Chips
Besides the filter panel, every column header has its own sort and filter menu, just like in a native SharePoint list: sort A to Z or Z to A and tick the values you want to see, including an (Empty) option. A highlighted header shows which columns are filtered.
All active filters - from the panel, a saved preset, a shared link, or a column menu - are shown as removable chips above the table. Remove a single chip or use Clear all to reset the view in one click.
Grouping and Totals
Turn a flat list into an analytical view right on the page. List Filter Online can group results by one or two fields, with configurable sort direction, initial collapsed or expanded state, and a group limit.
For numeric, date, and currency columns you can display totals: Sum, Average, Count, Maximum, Minimum, Standard Deviation, and Variance. Combined with multi-level sorting by two fields, this gives you lightweight reporting directly in SharePoint - no need to export the data first.
Saved Filters and Shareable Links
Users can save frequently used filters as personal presets and re-apply them in a click. An optional setting makes the web part remember the last applied filter, so users pick up exactly where they left off on their next visit.
The Copy Link to Filter command generates a compact link that carries the whole filter with it. Share the link with colleagues, and they instantly see the same filtered view - ideal for handing over a prepared selection of documents or tasks.
Cascading Filters
With cascading filters enabled, the options offered by each dropdown automatically narrow down based on the values selected in the other filter controls. Users only ever see combinations that actually exist in the data.
This keeps large filter panels manageable and guides users to a meaningful result faster - for example, selecting a department first limits the project dropdown to that department's projects.
Export to Excel
List Filter Online provides a convenient feature that allows users to export filtered data to Excel. This enables users to easily transfer their customized data views into Excel for further analysis, reporting, or sharing purposes.
By exporting the data to Excel, users gain access to powerful tools for manipulating and visualizing data, making it easier to work with SharePoint data and present it in a more organized way. This integration with Excel improves productivity and facilitates the seamless integration of SharePoint data with other workflows and tools.
Export what you need: the current page, all items matching the filter, or only the selected items. The Excel file contains the visible columns with their captions.
Built for Large Lists
List Filter Online helps you stay productive even on lists with more than 5,000 items. When configuring filters on a large list, the web part warns about non-indexed columns and lets administrators create the missing index on the spot - a practical way to work around the SharePoint list view threshold.
Together with server-side filtering, pagination, and a configurable view scope that can include the contents of nested folders, this makes the web part a reliable front end for large document repositories.
Open in List Filter Command
The solution includes an Open in List Filter command that appears directly in the command bar of native SharePoint lists and libraries. One click takes the user from a standard list to a page with the List Filter Online web part, carrying the current item selection over as a filter.
Administrators enable the command tenant-wide and simply point it to the page where the web part is placed - no coding required.
Item Actions, Versions and People
The web part brings the familiar actions of the native list to your page: open, preview, rename, edit properties, download, share, copy link, manage access, set an alert, delete, and create new items or folders. Actions are available in the command bar and in the context menu, and administrators decide which commands and menu entries are shown. Folders can be colored directly from the menu.
Open Version History to browse previous versions of an item and restore one in a click. Attachments are shown with a counter and a pop-up list, and user columns display the person's photo and presence status, with a profile card showing e-mail and phone.
Data from Any Site
One page can show data from the current site or from any other site you have access to: pick the site, then the list or library, with no code and no extra permissions. This makes it easy to build a single filtered view over a central document repository or a project list that lives elsewhere.
A configuration checklist in the property pane confirms that the site, columns, and filter are set up correctly.
At Home in Your Theme
The web part runs on any modern SharePoint page and also as a full-page app for a distraction-free, dedicated view.
The interface is built with native SharePoint UI elements, automatically adapts to your site's theme - including section background variants and dark mode - and supports additional touches such as colored folders and thumbnail columns, so it always feels like a natural part of your intranet.
